How much does an AI receptionist cost for a small business?

Three price bands cover almost every option on the market in 2026. DIY apps run $79 to $99 a month and put the setup work on you. National platforms run $79 to $975 a month depending on call volume, features, and whether a real person backs up the AI. A locally configured setup, like ours, runs $500 to $1,000 to set up plus $297 to $497 a month, and includes someone answering when it breaks.

Pricing checked against each vendor's own pricing pages and current 2026 buyer guides in August 2026. Rates shift without much notice, especially add-on pricing (Podium, Weave); re-verify before quoting a customer. Smith.ai sells two different products under one name: "AI Receptionist" is pure software starting at $95/mo, "Virtual Receptionist" is live humans starting at $292.50/mo. A comparison that lumps these into one range is blending two different products.

Why would I pay more than $95 a month?

Sometimes you shouldn't. Genuinely.

The national platforms are good software. If you're comfortable configuring things yourself, your call patterns are simple, and you don't mind support being a ticket queue, buy Smith.ai's AI Receptionist plan, spend the $95, and skip the rest of this page. That's the right call for a lot of businesses.

The reason to pay more is that setup is the hard part, and setup is where these things fail. Someone has to decide what the AI says when a caller asks "do you do water heaters" versus describes a leak in progress. Someone has to write what the system is allowed to quote on price. Someone has to test it on a Saturday, when your actual call volume happens. With a national platform, that someone is you.

What am I paying for each month?

The monthly fee covers the platform cost plus ongoing tuning: adjusting how the AI answers as your business changes, adding new questions people start asking, fixing what annoyed you last week, keeping booking and reminder flows working. It's not a license fee for software you could get cheaper elsewhere. It's the cost of someone maintaining the thing after it launches.

Is there a cheaper way to start?

Yes. A $500 missed-call text-back pilot is the smallest useful piece of this whole stack. Any call that goes unanswered gets an automatic text within thirty seconds, no AI voice, no phone tree, nothing to learn. It's roughly one afternoon of setup, and it's the highest-return single piece because a text that lands in thirty seconds catches a customer while they're still deciding, not after they've already called the next listing.

Most businesses should start there and add a full AI receptionist only once the pilot proves it earns its keep.

What's the honest ROI math?

Skip the industry statistics and run your own numbers. Take what one new customer is worth to your business. If it's $150 or more, recovering one missed call a month covers most AI receptionist monthly fees. Two recovered calls covers nearly all of them, including the higher-end hybrid plans.

The reason this works at all is unglamorous: about 85% of people who reach voicemail never call back. They call the next business on the list, and you never find out it happened.

What's the real difference between an AI receptionist and a human answering service?

Short version: a traditional answering service bills by the minute or call, often $1–$2 per minute, and a small business easily lands at $200–$600+ a month once volume picks up. An AI receptionist runs a flat monthly fee instead, so you know your number up front. Will my customers get annoyed talking to an AI receptionist?

Some will, especially if the voice sounds robotic or the AI can't hand off to a person. A well-built setup with a fast fallback and no forced menu tree is usually fine. The quality of the setup, not the technology itself, decides which experience your customers get. Which AI receptionist tool is the best one for my business?

It depends on your call volume, budget, and whether you want a self-serve national tool or someone local building it for you. See the full tool-by-tool comparison for which option fits low-volume DIY setups, which fits businesses that want a human safety net, and which fits multi-location or practice-based businesses.
